This policy explains how London Oil Collection Ltd ("we", "us") collects, uses and protects your personal information when you visit londonoilcollection.com, submit our booking form, or contact us by phone, email or WhatsApp. We are the data controller for the information described here. London Oil Collection Ltd is registered in England and Wales, company number 17353811.
What we collect
When you submit our "Book Free Collection" form we collect:
- Your business name and contact name
- Your postcode
- Your phone number and, if you provide it, your email address
- Details you choose to give us, such as estimated oil volume and any message
If you contact us by phone, WhatsApp or email, we collect the contact details and information you provide in that conversation.
How we use it
- To respond to your enquiry and arrange collections
- To operate your collection service, including scheduling, payments for your oil and producing waste transfer notes
- To meet our legal duties as a registered waste carrier, including record-keeping under environmental and waste regulations
Our lawful bases under UK GDPR are: taking steps to enter into a contract with you (your enquiry and service setup), compliance with legal obligations (waste documentation), and legitimate interests (responding to messages and running our business).
Who we share it with
We do not sell your information, and we do not use it for advertising. When you submit the booking form, the details you provide are sent to two places so an enquiry is never lost if one of them is unavailable:
- Telegram (Telegram Messenger Inc.), which delivers an instant alert to the phone of the person who will call you back.
- Google Sheets (Google Ireland Limited), which holds our register of enquiries so we can arrange and schedule your collection.
Our website is hosted by Cloudflare, whose servers process the form submission on its way to those two services. We share information with regulators such as the Environment Agency where the law requires it, for example on waste transfer documentation.
Some of these providers operate outside the UK. Where personal information is transferred abroad, it is protected by the safeguards those providers have in place, such as the UK addendum to the standard contractual clauses.
How long we keep it
Enquiry details are kept for up to two years so we can follow up and recognise returning businesses. Waste transfer documentation is kept for the periods required by law. If you become a customer, we keep your account information for as long as we provide the service and as required afterwards for legal and accounting purposes.
Your rights
You have the right to access the personal information we hold about you, to have it corrected or deleted, to object to or restrict our use of it, and to data portability. To exercise any of these rights, email info@londonoilcollection.com or call 07716 378590. You also have the right to complain to the Information Commissioner's Office at ico.org.uk.
Cookies and analytics
This website does not set marketing or tracking cookies and does not use third-party advertising. If we add analytics in future, this policy will be updated first.
